Adding Team Members

As a team administrator, you can add new members to your organization and manage their access. This guide explains how to invite and manage team members in TODAY Type.

Accessing Team Management

Navigate to team management from the Client Dashboard:

  1. Go to Client Dashboard
    Access your organization's dashboard at /client/.
  2. Click "Users"
    Select the Users tab from the navigation menu.

Adding a New Team Member

Option 1: Add Individual User

  1. Click "Add User" or "Invite User"
    Look for the button in the top-right of the Users page.
  2. Enter their details
    Fill in the required information:
    • Name - The team member's full name
    • Email - Their email address (they'll use this to sign in)
    • Role - Select their permission level
  3. Choose whether to send an invite
    Check "Send invitation email" to notify them immediately.
  4. Click "Add User"
    The user is created and associated with your organization.

Option 2: Add Existing User

If someone already has a TODAY Type account, you can add them to your organization:

  • Enter their registered email address
  • They'll be linked to your organization automatically
  • Their existing progress and stats are preserved

User Roles

When adding team members, assign appropriate roles:

User (Standard)

  • Access to typing tests and training
  • View personal progress and statistics
  • Cannot see other team members' data
  • Most common role for team members

Viewer

  • Can view team reports and statistics
  • Cannot manage users or settings
  • Good for supervisors who need read-only access

Client Admin

  • Full access to team management
  • Can add/remove users
  • Can view all team reports
  • Can configure organization settings

Admin Access

Only grant Client Admin access to trusted managers. Admins can view all team data and manage user accounts.

What New Users Receive

When you add a new user who doesn't have an existing account:

  • Temporary password - A secure temporary password is generated
  • Email notification - If selected, they receive an invitation email
  • First login prompt - They'll be required to change their password on first login

Sharing Credentials

If you don't send an invitation email, you'll see the temporary password displayed after creation. Make sure to share it securely with the new user.

Managing Existing Members

View User Details

Click on any user in the list to see:

  • Account information and email
  • Current role and status
  • Recent activity and test history
  • Performance statistics

Change User Role

Modify a user's permission level:

  1. Find the user in your team list
  2. Click on their entry or the edit button
  3. Select a new role from the dropdown
  4. Save changes

Remove User from Team

To remove someone from your organization:

  1. Find the user in your team list
  2. Click "Remove" or the remove icon
  3. Confirm the removal

Removal vs. Deletion

Removing a user from your team doesn't delete their TODAY Type account. They can still use the platform independently, and their data is preserved. Only super admins can fully delete accounts.

Multi-Organization Users

Users can belong to multiple organizations:

  • A user might be in both your company and a training provider
  • Each organization sees only their own association and data
  • Users can switch between organizations from their profile

Troubleshooting

Email Already Registered

If you see this error:

  • The email is already used by an existing account
  • The user will be linked to your organization instead of creating a new account
  • This is normal and expected behavior

User Already a Member

If you see this error:

  • This user is already part of your organization
  • Find them in your existing user list
  • You may need to update their role instead of adding them again

Invitation Email Not Received

If a new user doesn't receive their invitation:

  • Check their spam/junk folder
  • Verify the email address is correct
  • You can manually share the temporary password shown after creation
  • They can also use "Forgot Password" on the login page
